Before filling out the application form below, please read the details pertaining to the duties and responsibilities of the different Vice-Presidents (VP) and Directorship positions.

All applicants for the positions of VPs and Directors will be contacted for interviews after their deadlines. If you have any questions about the positions, feel free to contact us.

President

The OSP President plays a crucial leadership role in the team, and will be responsible for performing certain management duties. His/her primary duty will be to oversee the work of Vice-President Finance and Donor Relations and Vice-President- Events and Campaigns, and to serve as an advisor. He/she will act as the head of the OSP committee and act as the liaison between the Executives and the OSP committee. He/she will assist the MSA President to enhance OSP’s strategic vision. The President will organize all events and initaitives in coordination with the MSA VP Finance and attend all necessary meetings as requested by the Executives.

Qualifications:

  • Experience in OSP committee (required)
  • Willingness to commit between 5 – 10 hours per week
  • Comfortable working with vast quantities of data
  • Proficient in professional communication
  • Excellent leadership and team-building skills
  • Excellent Organizational and Time Management skills
  • Excellent leadership and team-building skills
  • Experience with Gmail, Google Docs and Excel required
  • Goal oriented, inspiring, strongly committed and takes initiatives
  • Experience with Photoshop and WordPress are asset

Vice President – Finance & Donor Relations

The OSP Vice-President Finance and Donor Relations plays a crucial leadership role in the team, and will be responsible for performing certain management duties. His/her primary duty will be to oversee the work of Donor/Charities Liaisons, as well as Fundraising and Finance Directors, and to serve as an advisor. He/she will function as a team leader in and assist directors in setting and reaching goals in their respective directorships. He/she will assist the President in meeting organizational goals through strategic planning, budgeting and maintaining effective communication with MSA executives and external liaisons – charities and donors. The VP will assist the President, take on a leadership role in absence thereof, and at all times ensure optimal team performance towards the intended direction.

  • Willingness to commit between 5 – 10 hours per week

Vice President – Events & Campaigns

The OSP Vice-President Events and Campaigns plays a crucial leadership role in the team, and will be responsible for performing certain management duties. His/her primary duty will be to oversee the work of Events Co-Directors, as well as Marketing and Communications Directors, and to serve as an advisor. He/she will function as a team leader in and assist directors in setting and reaching goals in their respective directorships. He/she will assist the President in meeting organizational goals through strategic planning, budgeting and maintaining effective communication with MSA executives and the greater community. The VP will assist the President, take on a leadership role in absence thereof, and at all times ensure optimal team performance towards the intended direction.

  • Willingness to commit between 5 – 10 hours per week

  • Proficient in professional communication
  • Ability to work independently and follow instructions
  • Excellent Organizational and Time Management skills
  • Goal oriented, inspiring, strongly committed and takes initiatives

Events Co-Director

The OSP events co-directors work in a team and are primarily responsible for organizing fundraising, social and awareness events for OSP with the consultation of the President, and the assistance of the team. The events directors will have the opportunity to have leadership role in organizing events that not only fund-raise for orphans but also raise awareness and enhance student experience on campus.
The responsibilities of the Events Directors include, but are not limited to:

  • Brainstorming event ideas and themes, and finalizing OSP events plan for the year upon consultation of the team
  • For every event, creating an event planning document 5 weeks prior to the event and sharing with MSA executives for approval
  • Selecting venues, and arranging room booking in collaboration with the MSA Secretary
  • Collaborating with other clubs and community services to promote awareness
  • Arranging purchase of food and materials for the event, acquiring speakers and entertainment, hiring volunteers, distributing event day tasks within the team, and creating event logistics

Events may include but are not limited to: Bake Sales, OSP Booths, OSP Iftar, Charity Week, Fundraising Lunch, Fungama, OSP Games night, and the OSP Annual Fundraising Dinner. You are encouraged to come up with new events!

The Events Directors will also be working closely with the OSP Marketing Director to ensure efficient and timely advertising of the events.

Qualifications:

  • Willingness to commit between 2-4 hours per week, minimum
  • Excellent teamwork and organizational skills
  • Must be creative – unique ideas for events
  • Should be enthusiastic and have an open personality
  • Excellent verbal communication skills
  • Knowledge of venues and facilities available for on-campus events
  • Good primary and secondary research skills are assets
  • Passionate about helping the international community
  • Display the characteristics of hard work, punctuality and reliability

Marketing Director

The Director of Marketing is responsible for maintaining the external image of OSP. S/he will come up with strategies for advertising OSP to attract more future donors and maximizing attendees to events.
The responsibilities of OSP Communications Director includes, but is not limited to:

  • Creating a Marketing Plan at the beginning of the year along with the OSP Communications Director
  • Regularly updating the OSP Facebook page, group and Twitter
  • Collaborating with MSA VP Communications to ensure timely updates in the MSA Facebook page, website and Instagram.
  • Sending event poster requests to the graphic design team at least 5 weeks prior to the event date
  • Setting up event pages, both through the MSA Facebook group/page and the OSP Facebook group/page.
  • Finding creative ways to reach out to different crowds, and expand the reach of OSP

The Marketing Director will be working closely with the Communications Director and Events Directors to promote OSP events and activities.

Qualifications:

  • Willingness to commit between 2-4 hours per week, minimum
  • Excellent teamwork skills
  • Excellent dexterity in use of social media tools
  • Excellent verbal and written communication skills
  • Should be enthusiastic and have an open personality
  • Ability to work independently and follow strict deadlines
  • Ability to think creatively
  • Display the characteristics of hard work, punctuality and reliability

Communications Director

The Communications Director is responsible ensuring sound communication within the team and maintaining the external image of OSP. The responsibilities of OSP Communications Director includes, but is not limited to:

  • Creating a Advertising Plan at the beginning of the year along with the Marketing Director
  • Designing and organizing content for quarterly OSP newsletters for donors
  • Updating the website regularly as OSP reaches new milestones, and for promoting upcoming events.
  • Working with events directors to write event description for the website, social media, MSA Newsletter, and Jummah announcements
  • Managing graphics
  • Taking meeting minutes

The Communications Director will be working closely with the Marketing Director and Events Directors to promote OSP events and activities.

Qualifications:

  • Willingness to commit between 2-4 hours per week, minimum
  • Excellent teamwork skills
  • Excellent written communication skills – creative writing is an asset
  • Ability to work independently and follow strict deadlines
  • Experience with WordPress and MailChimp are assets
  • Passionate about helping the international community
  • Display the characteristics of hard work, punctuality and reliability

Donor Liaison

The Donor Liaison forms the crucial link between the organization and our most important stakeholder: the donors. The Donor Liaison is responsible for cultivating and maintaining a relationship with all donors; in most situations they will be the first point of contact between OSP and the donor.

The responsibilities of the donor liaison shall include but are not limited to:

  • Emailing donors periodically to promote OSP and encourage previous donors to re-sponsor
  • Providing orphan reports and updates to those donors who have chosen to re-sponsor
  • Updating all donor related OSP documents such as address files and donor lists
  • Responding to any questions and concerns from potential and current donors throughout the year
  • Providing support to other executive members of the OSP committee when needed

The Donor Liaison will be working closely with the Charities Liaison  to ensure effective and accurate relaying of information to donors.

Qualification:

  • Willingness to commit between 2-4 hours per week, minimum
  • Proficient in professional communication
  • Proven  proficiency in good customer service
  • Comfortable working with vast quantities of data
  • Excellent Organizational and Time Management skills
  • Must adhere to 48 hour email replying policy
  • Ability to work independently & with a team
  • Experience with Gmail, Google Docs and Excel are assets

Charities Liaison

The OSP Charities Liaison forms the crucial link between the organization and the Canadian revenue agency approved charities with whom we work with. The OSP Charities Liaison is the prime contact between OSP and charities, and is responsible for cultivating relationship with charities, identifying issues that may occur throughout the term, and notifying the President abruptly of any disruption.
The responsibilities of the Charities Liaison shall include but are not limited to:

  • Emailing charities for new orphan profiles as requested by the donors
  • Checking all incoming orphan profiles and updating the orphan and donor file accordingly
  • Receiving orphan progress reports when they are sent by the charities, recording them and relaying the information to the Donor Liaison
  • Communicating with charities to make sure that donors receive their tax receipts on time

The Charities Liaison will be working closely with the Donor Liaison to ensure effective and accurate relaying of information to donors.

Qualification:

  • Willingness to commit between 2-4 hours per week, minimum
  • Proficient in professional communication
  • Comfortable working with vast quantities of data
  • Attentive and detail-oriented
  • Must adhere to 48 hour email replying policy
  • Ability to work independently & with a team
  • Experience with Gmail, Google Docs and Excel are assets

Finance Director

The Finance Director is responsible for all monetary transactions OSP engages in; this includes keeping track of all cash inflows and all cash outflows.This position is suitable for someone who pays attention to detail and enjoys playing a cross functional role in the organization which requires collaboration.
The responsibilities of the OSP Finance Director will includes but is not limited to:

  • Monitoring fundraising progress and work closely with the President to ensure OSP stays viable
  • Sending confirmations for donations
  • Ensuring that all transactions are appropriately recorded and accounted for
  • Creating and updating tax receipt file and deliver required deliverables within deadlines
  • Ensuring that the team members get reimbursed for expenses incurred at events

The OSP Finance Director will be working closely with the MSA VP Finance to ensure timely transfer of money where its due.

Qualifications:

  • Willingness to commit between 4-5 hours per week, minimum
  • Proficient in professional communication
  • Attentive and detail-oriented
  • Comfortable working with vast quantities of data
  • Excellent Organizational and Time Management skills
  • Must adhere to 48 hour email replying policy
  • Experience with Gmail, Google Docs and Excel are assets

Associate

Could not find a specific position you were looking for? Have some special skill that you can bring to the table? Whether you want to design graphics and make videos for advertising, give an extra hand at events such as by taking photographs, the OSP family will be glad to have you in the team. We are always looking for help and appreciate your effort in whatever way possible.

The Associate will be working closely with the directors and help them reach their goals. Associates will take the responsibility of the directors in their absence.
